Coordinator, Youth Assembly Special Events Planning & Logistics

We are looking for a professional-level candidate with strong organizational and multitasking skills to oversee and facilitate the planning and execution of special events and logistics of the Youth Assembly at the United Nations. The position is on a project-basis until August 2017 with the possibility of extension. The preferred candidate must be able to start immediately and have at least 2 years of experience with events planning and logistics coordination.

Responsibilities

Work with staff, particularly with the Operations Manager, in executing the following responsibilities:

  • Conceptualize and develop new and comprehensive packages for Youth Assembly delegates in the summer edition
  • Coordinate the planning and logistics of the Delegate Packages (i.e. special events, conference supplies, transportation, food, accommodation, etc.)
  • Seek new vendors and suppliers through sound research and maintain good relationships with existing ones using negotiation skills
  • Oversee the review, selection, and processing of incoming Delegate Package applications and payment
  • Assist in updating the official delegate database, ensuring appropriate documentation and information is collected following all policies and procedures
  • Provide prompt response to delegate inquiries by phone, email, and other online platforms
  • Coordinate, supervise, and assign responsibilities to a team of volunteers and interns
  • Coordinate and liaise with group leaders of delegations registered for the Delegate Package
  • Track logistical activity and develop an integrated schedule for reservations, payments, and other deadlines
  • Implement logistics onsite (at the hotel and conference venues) and ensure effective distribution and rendering of Delegate Package services and opportunities to participants in coordination with group leaders
  • Proactively handle and troubleshoot any emerging issues
  • Evaluate logistics and identify best practices to increase effectiveness and efficiency
  • Work in coordination with all departments in the organization and planning of the conference

Qualifications

  • Bachelor's Degree from an accredited college or university
  • Minimum of 2 years of professional experience
  • Has strong cultural awareness and a global perspective
  • Process-oriented; excellent organizational and time management skills
  • Strong and effective verbal and written communication skills
  • Provides excellent customer service; excellent phone and email etiquette
  • Keen attention to details and accurate record keeping
  • Strong follow through, interpersonal, and leadership skills
  • Quick learner and innovative thinker
  • Ability to multi-task and work under pressure
  • Ability to work independently and within a team
  • Knowledge of creating online and payment forms is highly preferred (i.e. Jotform, Google Forms, etc)
  • Skilled use of document sharing sites (i.e. Google Suite, Dropbox) and Microsoft Office Suite, particularly MS Excel
  • Proven ability to formulate solutions to problems
  • Reliable to lead large groups of people; Must be a "people person"
  • Ability to effectively manage interns, volunteers, and group leaders, and utilize their skills effectively
  • Ability to creatively work within budget limitations
  • Interest in youth development-related work
